    251: Useful Business Insights (Part 2/5)

    Last week I discussed five of the fifteen lessons I learned while I ran the largest of the companies I’ve owned. This week I have five more lessons to share. There is a difference between creating a job for yourself and creating a business. A business or organization is characterized by the following attributes. It solves a problem for the consumer. It has systems and processes by which it operates. It has employees who work in and assist with the running of the business. It has a strong leader. It pays its bills including payroll, owner’s draw and vendor payments and still has a profit of some level. If you are creating a job for yourself, you are the person in charge of the bulk of the work (80%). You solve a problem for the consumer and you generally get paid for showing up to actually solve that problem for the consumer personally (i.e. you fix their computer, you write a press release for them, you plan an event for them, you sell something, etc.)  If you don’t show up to your business, the business will not operate. There is nothing wrong with one or the other, but having that defined is important. Bigger isn’t always better. In our more is better consumerist societies we always equate more to being superior. If you have four really nice pairs of jeans having a fifth pair is even better. If you have a newer car, having the newest version of the car is better. If you have a 1,200 square foot house, having a 3,600 square foot house is better. If you have 2 employees having 10 is better. If you sell two different services, selling 10 is better. It’s just not always the case. Having more will cost more and if you aren’t really on top of your numbers hiring more people, producing more products and just in general doing more isn’t always better. Know when to hire and when to move into that new building. Know when to add on to your product or service offerings. My recommendations is to look at cash flow. If you hire a new person will the company really make more money or even enough to cover the cost of that hire. Marketing is key to success in business. Your customers have to know who you are or they aren’t going to buy from you. If you’ve not done a S.W.O.T. analysis on your business now is the time.  S.W.O.T. means strengths, weaknesses, opportunities and threats. Use this information to form a strong marketing strategy. Know when a partner is a help in your business, when they are a crutch and when they are detracting from your company. I’ve had the pleasure to work with some of the most phenomenal partners two of which are my husband and best friend. However, don’t rely on someone else to “help” you grow your business. Find the strength within yourself to be the best you can be. Know too when having a partner will not hinder the business but double or quadruple your value as an organization.  Be very selective when choosing a partner. Make sure that your life values are in line. If you have very different values in life you aren’t going to succeed with them as a partner. Have crystal clear goals and a vision for your company. Know what you are doing, how you’re going to do it when you’re going to complete this goal and how much it will produce. Having goals is imperative to your success.     248: Useful Business Insights

    Last year I sold a company that I’d owned for nearly 10 years. Just after the sale of this business I made a list of all the lessons I’d learned while owner. I came up with 15 significant lessons learned. For the next few weeks I’m going to cover a 5 lessons I learned each week. Here are this weeks lessons: Lesson one for me, was begin with the end in mind. When I started the business I never thought I’d leave. I loved the company, I loved my business partners and I loved our clients. I knew that we were providing a valuable service to our clients and to the community. I loved the work I did which was primarily marketing, sales and event planning. I never thought I’d want to leave and then one day I did and I didn’t have a plan. My business coach had said many time that we needed an exit strategy, but for some reason I just didn’t believe him. I was able to sell the company and it all worked out great, but it would have been much better if I’d had a plan from the start. Lesson two was profit is key. There were many years when we were able to pay our bills, our employees and ourselves, but there was no profit. I didn’t fully understand why profit was so important. I wasn’t thinking of the organization and entity outside of the owners. Of course I knew that making money was important, but I didn’t realize just how important it was until we lost money. We put together a product, a high end product and it was a great package, but at the end of the year it lost money. The hardest part? We were nearly sold out of the high end product. Our sales team had done a great job selling it and our marketing team had done a fabulous job with execution, but I as the owner had done a very poor job pricing the product correctly. At the end of the year, we lost money. Profit is important. What you track will grow. If you aren’t tracking the activities in your business you are missing a great opportunity to take your business to the next level. By creating a weekly dashboard that tracked our progress we were able to easily see where our strengths and weaknesses lie. We could see if we were making enough sales calls, if we were closing enough sales, if we had sold the right products at the right time to allow the company to function well. If you don’t track your activities such as sales calls, sales closed, cash in, number of products sold, average dollar sale, you are missing out on a great opportunity to really grow your business. What get’s measured gets managed. Plan and simple. Make it a priority. Outsourcing and delegation presented a steep learning curve. As an owner of the business I was certain I could do all things and do them well. I knew how to do what I wanted to do and when it should be completed. Doesn’t it always take so much longer to teach someone else how to do something? Isn’t it much better to just do it and be done with it? I learned that the first time you do something it is easier to just do it yourself. Teaching and training are time consuming. However, in the long run if you train the right person you are much more successful delegating and outsourcing because it does save loads of time and allows your company to step up to the next level of revenue growth. If you are building a business and not just a job for yourself you need others to help you grow your organization. Outsourcing can save time and money. If you outsource the right items, your work flow can be streamlined and accomplished often cheaper in less time. Have clear job descriptions and roles. If you’ve not read the E-myth Revisited, you need to go buy a copy. Think about your company and what it takes to run your business. Then write a very clear job description for each job that is to be completed. Even if you don’t have any one person assigned to that task at present, write the job description. As you grow you will eventually hire people to fill those roles. Being crystal clear about who does what when and for what reason is the difference between a successful smooth running organization and a chaotic mess. If someone walks into your business and asks an employee what role they play and what tasks they are responsible for, the employee should be able to answer seamlessly. Each person in your organization plays an important role in the success of the business. Make sure everyone knows what role that is and why it is vital to your organization.     245: How to be grateful for what you have

    Sometimes concepts in our lives or society get so overplayed that we become numb to them.The idea of gratitude is one of them. It’s an idea we’ve all heard so much about we glaze over the concept and keep right on moving. We do lip service to the idea of gratitude. Of course we’re thankful for what we’ve been given, of course we feel blessed beyond measure, at least that’s what we say. We use our mouths to delivery the message of gratitude. When we hear someone talk about gratitude and it’s value we think to ourselves, I’m grateful. However, at a heart level are you really grateful for all you’ve been given? If you’re reading this you are one of the most affluent people in the world. Yes, you heard that right, you are one of the most affluent people in the WORLD. You have been given more and you have more than most people. Are you truly grateful? How can an attitude of gratitude have an impact on your transition from employee to business owner? Let me show you why it’s so important.   First, true gratitude puts life into perspective. What is true gratitude? True gratitude is believing and knowing with your whole being that you are blessed. You can be grateful for any number of things in life, your relationships, your house, your car, clean water to drink, electricity, a good internet connection. You must truly believe you are blessed. Your gut, stomach region is typically where most people hold fear and anxiety. Move up five inches to your heart center, or chest and that’s where most people hold their feeling of love. In that deep place of love is where you can also hold your feels of gratitude. Understand at a deep level that you have been blessed.   Approach your day, both the good and the bad with a feeling of pure gratitude. This gratitude will spill out of you and have a positive impact on those you encounter. We all have good days and bad days. We all have parts of our lives going really well and the parts we wish were different. We all have difficult situations and circumstance to face, but we are so blessed. I recently went on a camping trip with my family. Living in California water is scarce at the moment as we’re in the middle of a drought. I was excited to camp with my family but discovered when we arrived at the camp ground that the water had been turned off. There weren’t showers, or flush toilets. No water. Having small children playing in the dirt all day with no water is a challenge. Not having flush toilets and having repeated conversations about the use of a porta potty is also a joy with small kids. So many us of take running water for granted. Having clean fresh water coming to your house is a huge blessing. Do you see it that way?   Gratitude allows you to put life into perspective. As an entrepreneur you have the freedom and flexibility to make choices to do and be what you’re meant to be. Are you thankful for the drive? or your desire to create? Not all people have the desire to make more of themselves and their situations, but you do. You desire to take advantage of what you’ve been given. Being in a state of gratefulness will propel you to the higher levels.   Accepting the talents you have and striving to grow is a position taken by most great business owners. Are you grateful for your current situation? I occasionally lift weights at the gym. I’ve been doing weight lifting for about six months and I’m never satisfied. I’m always the slowest in my class and the one who lifts the least weight. It can get discouraging. During this mornings workout I was bummed that I finished last. I made a comment about how I wish I could do more and one of my classmates said, “You just don’t realize how far you have come.” She is right. I was only looking at today and not focusing on my journey. I’m doing far more than I did just six months ago and I’ll do even more six months for now. Being grateful that I have a body that is able to lift weights is the best place to start. Simple gratitude gives you the attitude to move forward. Feeling the success in the past and the possibilities for the future will drive you to create the life you desire.   Approaching those around you with gratitude will allow your relationships to go much deeper. As you’re starting your business it’s very easy to feel frustrated with your lack of progress. I’ve often heard people say things like, “I only have five customers.” Are you grateful for those five customers? How would pure gratitude toward those five people change your business? How will it empower you to deliver a very high level of customers service? As an employer, being grateful for the employees that surround you will also allow you to communicate a valuable message to your support system- you’re valued and this business counts on you. By sending that message, employees who are hard working work harder and slackers know they need to step up.   Are you thankful for the hard times in life? That’s when you know you’ve reached a true level of gratitude, when you’re able to rejoice in all things, knowing all things work together for good. The hard times you are facing now are preparing you, they are creating in you the person you are meant to be. It’s certainly more difficult to be grateful for the hard things in life, the things that really suck, but if you’re able to live from a place of gratitude you’ll be empowered innumerably.   You are blessed!     242: How to Write a Business Plan

    As a coach, I hear the same things over and over again. I commonly receive questions about writing a business plan. Why should I write I business plan? How should I write a business plan? Who will see my business plan? When should it be written or reviewed?   Let’s go ahead and dispel the fear and worry surrounding your business plan. First off, should you actually go to the trouble of writing a business plan? My answer to this is a resounding yes! It’s important to write a business plan for a variety of reasons, but first and foremost, write a business plan for yourself. Write a business plan to take all of the moving pieces out of your brain and fit them together. You are the visionary of your company and you need a vision that is tangible. Taking  all of your ideas out of the mental realm and putting them on paper closes any gaps. You’re able to see where there are issues with your ideas, or how things don’t line up. Seeing the good and bad is important. It also gives you great direction. It adds a level of clarity that is unmatched. Your business plan will allow you to flush out your idea and make it real. Is this a business that will actually work? A good business plan will show you this.   Next, let’s talk about how you should write your business plan. I recommend that you start with a one-page business plan. The reason for this is it’s relatively easy. The one-page business plan is a total overview of your ideas and concepts. It allows you to see where there may be holes. If you have a good strategy for products, but do not have a marketing strategy, that will be an issue. If you have a great sales strategy, but aren’t able to decide who your target market is, or the people who will purchase your product, that will be an issue. This one-page business plan gives you a snapshot of your ideas.   After, you’ve completed the one-page business plan you next dive into a full blown business plan. This is a plan that should be full of details. It’s the in depth true look at what you’re creating. Think of the one page business plan as a completed meal. If someone were to ask you what you were eating, you’d say, “I’m eating Chicken Parmesan.”  The full length business plan is the recipe for that meal. If someone tells you what they are eating a picture will instantly come to mind of that meal. However, if someone gives you a recipe for making that dish you will have a true understanding of exactly what they are eating. This full length business plan is your business recipe. It’s everything that you’ll need to think about and do to start a successful business.   To get started with this plan, I recommend doing a web search for one-page business plan templates, and next business plan templates. There are some wonderful resources online for free. These business plan templates will ask you questions and step by step you complete the vision for your organization. If you get stumped and aren’t sure how to answer a question, you can do one of two things. You could realize that you don’t know everything there is to know about starting a business and do a subsequent web search for the answer, or you could decide that you don’t need to know that information, or that it’s not pertinent to your business and skip it. Either option could be the correct choice for you.   Once you’ve written your business plan what do you do with it. If you are attempting to get financing to start your business a business plan will be a necessity. A bank or investor is going to want to see that you’ve fully thought through the process of running this business, who you will service and how you will profit prior to giving you money. If you aren’t attempting to secure financing then the only person who needs to see the business plan is you. My recommendation is to write the plan and then review it every two weeks for the first three months and then move to reviewing monthly for the first year of your business. You then can move to every six months and then to annually as your business grows. When you review your plan, if something has changed, make that change to your plan. The constant focus on vision will allow you to be the true CEO of your organization. You’re the one who has the concept for this business, it is your brain child and it should be treated as such by you.   Writing a business plan can seem overwhelming, but I firmly believe part of the reason businesses fail so frequently is the owner fails to plan. The failure to create a roadmap that will be a guiding force for their organization leaves it directionless and straining. If you fail to plan, you plan to fail. Jump in!     230: Working remotely pros and cons

    I talk to so many people who want to work remotely. They love the idea of location independent businesses and lets face it, who wouldn’t. Doesn’t it sound great to be able to travel the world all while making a great living and running a dynamic business? However, there are realities to face. Here are the some of the pros and cons. The number one best part of working remotely is, you guessed it­you get to travel. If you are a lover of travel who wouldn’t want to create a business that allows you that luxury. It’s a lot of fun to travel and know that you have everything you need often on the internet to continue working your business while you’re on the road, in the air or at an exotic location. The flexibility piece is my next favorite. You get to have the flexibility to be where you want to be when you want to be there. It’s really a wonderful feeling. My recommendation is to build flexibility into your business no matter what type of business you’re creating. Flexibly is one of the greatest benefits of business ownership. If you aren’t creating a business that will allow you this flexibility, you might want to think a bit harder about the company you’re designing. Not having to stay in a specific location, but being able to move from place to place is a wonderful feeling. As a mother it is wonderful to be able to spend time with my kids. I enjoy being able to spend time with my kids and not having to be at work in an office everyday. As a former working mother this is huge. When I was employed I always had the internal conflict of working or not working. Fighting the daily battle of the pleasure and pain of working and the pleasure and pain of staying at home. Which choice was better, what was right for our family and what SHOULD I be doing? I don’t have to worry about that anymore. I know I have all the time I need to spend with my kids, and I love it. Of course with every situation you have the good and the bad. For me I don’t enjoy not having a routine. I don’t feel like I’m getting as much accomplished. Having my business routines that I follow each day helps keep me motivated and encouraged to do the harder tasks that I need to get done. When you own a business you typically do what you want to do and not what you always need to do. This is exasperated by working remotely. The time you want to spend on business creation activities is shortened and thus your follow through to do the hard stuff is just not there. Productivity is difficult when you're in vacation mode. You need to decide if you want to take extended vacations as a business owner, or if you want to work remotely. If you want to work remotely, that’s fine but you’ll need to remember that you aren’t on vacation you’re just working in a different place. Or if you’ve decided you want to take more frequent longer vacations, that’s fine too, you simply must create a business that allows you to make that dream a reality. It is difficult to be productive when you’re mind is in “vacation mode.” Productivity falls to the bottom of the list. Presumably, if you’re working remotely you are going to need an internet connection and maybe a good cell phone signal. Internet connections can be spotty when you travel. If you’re used to a very strong signal you might be challenged. I’ve found that even in hotels with wi­fi the connection can be poor. Also, it may not be very secure. You need to think through this prior to your travels. I’ve found tasks that typically take me 5 minutes can take me upwards of 30 minutes with a poor connection. This can kill your business development and also might leave you with even less a desire to work in your business. Hitting the beach a few hours before planned might look very appealing if you aren’t able to make the phone calls you’d planned, or if your internet is very slow. Often those around you don’t fully grasp that you need to be productive and actually work in your business. They might think you don’t really need to work on your businesses or that you’re just saying that you need to work to feel important or get out of activities. Make sure that you’re surrounding yourself with people who have the expectation prior to your arrival that you’ll be spending a certain number of hours each day or week in your business. If you are traveling with your children you may not have the typical childcare that you normally have. If you don’t have someone dedicated to watching your children this too will lead to a lower level of productivity. Your kids may be used to you working on your business, but when you are away from home it’s possible that they might not understand that you still need to work or to spend time in your business. They too may have the desire to do more vacation type activities that they won’t be able to enjoy until after your business hours are over. It’s a blast being able to travel and work. Having a location independent business is wonderful. Just make sure you set appropriate intentions and have realistic expectations as well as a great internet connection.
