Permitting: You Can Afford to Do It Twice - But Why Would You Want To?
When you have the financial resources to start a home improvement project immediately, waiting weeks or months for permits, HOA approvals, or engineering drawings can feel absolutely ridiculous. It is tempting to agree with a contractor who suggests skipping the bureaucracy to get the job done quickly. However, trying to save a few weeks upfront can expose you to years of long-term consequences. Skipping these critical safeguards can change the caliber of contractor willing to take the job, leaving you vulnerable to substandard construction that looks beautiful at first but fails when the first heavy rain comes or the electrical load increases. Before you start your next renovation, don't just ask what the fine is if you get caught; ask yourself what you will actually own once the contractors leave. In this episode, I break down why skipping the paperwork is a luxury homeowner's most expensive mistake.Sustainable operations require leadership as well as structure and a plan. This is what my new FRAME initiative (Framework for Residential Asset Management & Execution) is all about.𝐍𝐞𝐱𝐭 𝐒𝐭𝐞𝐩:LEARN MORE: https://www.estatemanagementsystems.com/frame#EstateManagement #DearBillionaire #PrivateService

You Hired Household Staff - So Why Are You Still Managing the House?
You hired housekeepers, a house manager, and maybe even an estate manager to make your life easier—yet somehow, everyone is still coming to you with endless questions. This is the ultimate irony of expanding your household staff: without proper coordination, adding more people simply creates more employees for you to supervise and more decisions for you to make. When a household feels chaotic, it is easy to assume your staff is underperforming, but the real issue is often a lack of operational structure. Even the most talented estate managers cannot successfully run your property if they have not been given the authority to make decisions.Stepping out of the day-to-day management of your estate does not mean giving up control; it means putting the right structural controls in place. By establishing clear spending limits, weekly reporting protocols, and project standards, you actually gain more strategic visibility and control.Ultimately, the true luxury of a well-run home is not having to think about it. Your home should operate like a business behind the scenes, but it should always feel like a peaceful sanctuary that gives you back your most valuable asset: your time.Sustainable operations require leadership as well as structure and a plan.

Six Questions Every Homeowner Should Ask Their Estate Leader in August
Most people think the planning season begins in January. I don't. By January, you're already reacting. Budgets have been finalized, raises are being discussed, projects are underway, and everyone is trying to solve problems that should have been addressed months earlier. In my opinion, August is the beginning of next year. When I meet with homeowners and their Estate Leaders around this time of year, I want us to have six conversations. I share what those conversations are in this episode. (Number four may be my favorite question!)Sustainable operations require leadership as well as structure and a plan. Why Your Home Wasn't "Visit Ready"
Arriving at a secondary residence for a getaway with family or friends, only to find it isn't "visit ready," is a frustrating experience for any homeowner. While it’s easy to default to blaming the property manager, housekeeper, or estate manager, the real culprit is often an organizational design issue rather than a simple lapse in duty.Creating a seamless luxury experience requires homeowners to establish a foundational framework that empowers their team. When estate leaders are given the authority, travel budget, and staffing support required to inspect and manage secondary properties well in advance, "visit ready" shifts from an optimistic goal into a consistent operational standard. In this episode, I share 9 steps that encompass an ideal estate leader response when he or she hears from the principal that a home wasn't visit ready.Sustainable operations require leadership as well as structure and a plan. The Missing Piece in Luxury Home Purchases
Imagine this...A family purchases a beautiful ski home in Aspen during the spring. Designers step in to transform the home, and the family decides to visit for the Labor Day weekend.Since this is a second home, the family believes there's no need to send the estate manager, the housekeeper, or the maintenance technician to prepare the house. (What could go wrong? It's a quick, informal weekend getaway.)As the family drives up the winding mountain road, the house looks spectacular. They step inside and every bedroom is warm, inviting, and beautifully appointed. The new bar looks stocked and ready for a fun weekend. The home feels exactly as they imagined. But then they discover...- The Wi-Fi barely reaches the bedroom, and cell service isn't much better.- Someone uses a hair dryer while the dishwasher is running; the lights go out because a breaker has tripped.- And the chef doesn't have all of the cooking utensils needed to prepare the evening meal. These aren't uncommon discoveries in a new home, but they're exactly the kinds of issues that determine whether a luxury residence truly functions the way the family expects. In this episode, I share the key question no one asked that would have helped avoid an issue-filled, first holiday visit at a newly purchased and renovated home — and why it points to the need for Operational Due Diligence.Sustainable operations require leadership as well as structure and a plan. Why Conflicting Instructions Burn Out Estate Managers
One of the quickest ways to lose a great Estate Manager has very little to do with salary, benefits, or workload. It starts with this: One principal says yes. The other says no.Eventually, the Estate Manager becomes the middleman for a disagreement that was never theirs to resolve. Everyone becomes frustrated. And the principals wonder why decisions seem to stall. In this episode, I share how the best-run estates avoid this common leadership problem — and how doing so creates the level of consistency that every principal wants.Sustainable operations require leadership as well as structure and a plan. Why Projects Always Cost More at Your Estate
One of the most expensive phrases in estate operations is: "While we're at it, let's..."If you've worked in private service for any length of time, you've heard it.Before anyone realizes what's happened, a $50,000 project can become a $150,000 project. The problem isn't the additional work. It's that the project changes without anyone stopping to redefine the scope, budget, timeline, or approval process. The real problem is a lack of leadership. In this episode, I share 5 simple questions that need to be asked during every project. And I share why project governance matters.Sustainable operations require leadership as well as structure and a plan. Fixing Estate and Family Office Communication Breakdowns
One of the most common frustrations I hear from both Estate Managers and Family Offices sounds remarkably similar: "I thought someone told them." And yet somehow, nobody knew. The project went over budget. The timeline changed. The scope expanded. And the principal knew. But the family office was surprised. The Estate Manager was caught in the middle. And everyone believes they communicated. Because they did.The problem wasn't a lack of communication. The problem was the absence of a communication structure. In this episode, I share the best two questions to jump to the next time someone says, "Why didn't anyone tell me?"Sustainable operations don't happen by accident. They require leadership, structure, and a plan. This is what my new FRAME initiative (Framework for Residential Asset Management & Execution) is all about. Why Family Offices Become Frustrated With Estate Operations
One of the most common things I hear from estate managers is: "The family office wants more reporting."After years of working with family offices, I don't think that's actually what they're asking for. What they ARE asking for is visibility. They want to know:- What projects are underway- What decisions require attention- Where we are against the budget- What changed since last monthThe frustration usually isn't around a lack of information. It's focused on a lack of VISIBILITY. In this episode, I share more about this as a means to get family offices and estate managers (and directors of residences) on the same page.Sustainable operations don't happen by accident. They require leadership, structure, and a plan. This is what my new FRAME initiative (Framework for Residential Asset Management & Execution) is all about. Why Great Estate Managers Don't Stay
One of the biggest mistakes I see principals and family offices make is assuming that a short-term employment history means a bad estate manager. With tenures of one, two, or three years being common, the conclusion is often that the person is the problem. After years of working with estate leaders, I'm not convinced that that's true. In fact, I think we're asking the wrong question. The question estate leaders usually ask when they see short-term tenures on estate manager resumes is: why did you leave? In this episode, I share a better question to ask the person you're considering hiring for this very important role, and why.Sustainable operations don't happen by accident. They require leadership, structure, and a plan. This is what my new FRAME initiative (Framework for Residential Asset Management & Execution) is all about. A Real Plan for Estate Leaders - Not Another Training
When I started Estate Management Systems, governance was not a word that entered my conversation. Most of us were simply trying to survive the day-to-day and keep up with the workload.10 years later (today), there's plenty of discussion about governance, accountability, leadership, and operational structure — but very few solutions. That's why I created FRAME. Not to teach you how to be an Estate Manager or Director of Residences. You already know the principals, the properties, the staff, and the challenges. The question is: do you have a plan? A real plan — one that identifies priorities, aligns projects with principal expectations (and budgets!), defines expectations, creates accountability, and provides a roadmap for the next 12 months. In this episode, I share more about my upcoming FRAME™ intensive executive-level working sessions for Estate Managers and Directors of Residences who oversee multiple staffed properties.𝐍𝐞𝐱𝐭 𝐒𝐭𝐞𝐩𝐬:LEARN MORE: https://www.estatemanagementsystems.com/frame#EstateManagement #DearBillionaire #PrivateService

A New Initiative to Help the Leadership Side of Private Service
I built my company, Estate Management Systems, around household management systems. And I still believe those systems are essential. They create organization, documentation, and consistency. But over time, something became impossible to ignore: House management systems are only a fraction of what it takes to run a high-performing estate. The real challenges in private service are rarely about household inventories and maintenance schedules. It's about the people, the leadership, communication, and decision-making. And aligning operations with the expectations of the principals and the family offices, particularly for directors of residences and estate managers responsible for managing multiple staffed homes. And that's where I saw a gap in our industry. There are excellent resources that teach service, and there are systems to help manage homes. But I couldn't find anything to support the layer above that - the leadership structure, the operational framework that helps estate leaders create consistency across all of those properties.Because leading a multi-property estate portfolio requires something very different than managing household tasks. That's what I've been building; that work became FRAME, an operational governance framework designed to support the leadership side of private service.I can't wait to share this with you. The Hidden Phrase Driving Away Your Luxury Household Staff
"You’re Not A Good Fit."Homeowners use this phrase to dismiss staff when they want to take a chance and see what happens next. It’s their right and privilege to choose who they want in their home and to relieve staff of their duties, even those who are competent, for reasons that may seem irrational or unfounded from an outsider’s (or even an insider’s) perspective. These decisions, whether logical or not, often reflect underlying dynamics that may not be immediately apparent from an employment standpoint.Let’s dive into 10 reasons WHY homeowners use this tactic to dismiss domestic staff. Thanks for listening!Read the blog post: https://www.estatemanagementsystems.com/blog/private-services-worst-trait-youre-not-a-good-fitFor more information, visit our Linktree: https://linktr.ee/estatemanagementsystems#estatemanagementsystems#Estatemanagerhousemanual#Estatemanual#digitalhousemanual#estatemanagement #privateestatemanagement#estatemanagementsoftware#housemanuals #housemanualtemplate#housemanagersoftware#householdmanagement#howtomanageamansion#uhnw#ultrahighnetworth #Luxurylifestyle

The Hidden Burden: How Secrets Impact Your Household Staff
I did a Coffee Talk about a month ago on what private service professionals need to do to keep a principal’s secret as a secret. Today I'm going to talk about what the homeowner – the principal, the employer – needs to do so that their secrets aren't divulged to their household staff. We keep secrets from other people. But if a homeowner is constantly pressing their staff with statements like, “What do you know about this?”, and they're constantly needing to process their words before they say them so that they don't divulge the secret, that can cause within your staff members:- anxiety,- depression,- eating disorders,- sleeping disorders, - overspending, and- all sorts of addictions to cope. So it's not just a simple thing like, “Hey, I've got a secret. My housekeeper knows it. What's the big deal? She's got a non-disclosure agreement.” That's why we're talking about this – it goes so much deeper than that.Don't push the boundaries of your housekeeping staff's professionalism to put a secret in their lap. Realize that they're going to listen. They're going to smile. They’ll say that they're going to hold that secret. And a little part of them is going to die inside knowing now that they are burdened with that information.Do not take that as loyalty. Take that as fear. And that's not a good situation. Remember, we're here to build long-term, sustainable, win-win relationships. Some of the framework for this episode is based on Michael Slepian's book The Secret Life of Secrets. Luxury Home Emergency Preparedness: How to Plan for Power Outages and Storms
At midnight on Sunday, I was awakened by my phone vibrating. Not in a standard, silenced phone call way; more like an Amber Alert. Without my glasses on, I dismissed it and went back to sleep. Minutes later, I heard one of many tornado sirens blast – longer than their average weekly testing. After the third or fourth round, I couldn’t ignore them. I got out of bed to look outside and check the weather; dead stillness. However, there was a hazy yellowish glow in the sky. The American flag that flies over the nearby bank’s rooftop – my visual form of a weather vane – was utterly still. Sirens were still blaring. I checked the weather app on my phone. High winds were headed our way. I checked Tulsa Weather on Facebook, which confirmed exceptionally high winds were expected. What happened after this was truly amazing. And even though I had long lists of emergency preparedness procedures and supplies for this exact situation, living through it gave me a different awareness. In this episode, I share 10 things I learned from this experience that will help you prepare for emergencies. Navigating NDAs in Private Service: What Every Homeowner and Staff Member Should Know
If you employ staff in your home, you are likely already using a non-disclosure agreement (NDA). And if you do, you probably have stipulations in it like the following, to which your staff have signed their understanding:- They will not be involved in the preparation of a book, article, story, video, or film about the homeowner, their family business, their business interests, or their personal lives, interests, assets, or properties.- And they will not disclose confidential information on blogs, Wikipedia, social networks, virtual worlds, or social media. The problem? Even with specific language like this, your NDAs can have "gray areas" which, if they are not addressed, can lead to questions and conduct from the private service professionals you employ that go against the privacy level you expected when staff signed your agreement. This episode of the Dear Billionaire Podcast sheds light on some NDA gray areas to look for to best protect both your family and your staff. Thanks for listening. For more information, visit our Linktrees:https://linktr.ee/dearbillionairepodcasthttps://linktr.ee/estatemanagementsystems#luxurylifestyle #luxuryhomes #uhnwi #domesticstaff #estatemanager #billionaire #millionaire #mansion #householdstaff #housemanager

The First 90 Days: What Every Estate Manager Should Do During the Trial Period
When it comes to hiring new staff, does it ever feel like you’re jumping off a cliff into the abyss? Like you and a private service professional are getting married without knowing each other really well?I can tell you from experience as a former estate manager, and from the estate managers and house managers I speak with, that this feeling goes both ways. The solution to this for both parties: a 90-day trial periodUse a 90-day trial to:- Allow everyone to see each other when they're tired.- Flush out some stressful situations.- Reveal everyone’s truest personalities, allowing you to see if they work together, or don’t.- Ask your estate manager to outline what you're going to receive in the 90 days- Have them walk all of your properties so that, later, they can be effective in answering your questions as well as questions from other staff and contractors, and in making decisions on your behalf.- Have them conduct both one-on-ones with your other staff members as well as team meetings so they can understand how staff interact with each other.- Have them gather key contractor information so they are set to react efficiently while minimizing your risk if something goes wrong, is not on schedule, or is over budget.- Write staff and contractor memorandums of understanding and have all staff and contractors sign them.- Have your estate manager start providing weekly property summaries, one-page documents detailing what was completed, what's ongoing, what's coming up next week, stuck projects, and any staff updates.- Have them capture all the above information in a system, preferably a project management system with a phone app, so that, in the event that this person doesn't last beyond 90 days, your next candidate won't have to dig so deep -- saving you time moving forward. Thanks for listening. For more information, visit our Linktrees:https://linktr.ee/dearbillionairepodcasthttps://linktr.ee/estatemanagementsystems#luxurylifestyle #luxuryhomes #uhnwi #domesticstaff #estatemanager #billionaire #millionaire #mansion #householdstaff #housemanager

Everything You Need to Know About Domestic Staffing (But No One Told You) | Free eBook
It’s time to look at household staffing differentlyWhen a homeowner decides they need staff, they:- hire people, - sign the paychecks, and- assume they’ll get the service they need from those employees. Then, when staff questions overwhelm them – when the homeowner doesn’t get the service they desire, and they feel frustrated with the lack of control over their day and the lack of privacy within their homes – they often reduce the number of staff and ask fewer people to maintain their homes and provide personal services. But…When systems fail, or if there’s an emergency that no one is prepared for, the household staff gets deemed inadequate, often labeled “not a good fit.” The staff gets fired, and this cycle repeats itself with new staff.
