Tip #1 to Increase Your Business Efficiency with Time Blocks
Today we are talking about 1 way to Increase Your Business Efficiency with Time Blocks, which is to Develop Your List. At the beginning or end of every day, it is essential to take stock of what you have done previously. You should know where you are with each task, and what you need to accomplish for the next day. At the beginning of a new week, start by writing out everything you need to achieve during the week. When writing this list, pay attention to deadlines, meetings, and upcoming projects or tasks for the following week. This will help you keep the most important (highest payoff) activities in perspective when planning your week. You can organize all the business activities you need to make the next business week better by consistently developing your list. To help you and your team be even more time efficient, use a Prioritized Action List (PAL). This is a list of everything you have to do, so you don’t have sticky notes, pieces of scrap paper laying around, or things in your head that you are trying to remember or afraid you will forget. Everything on the list in a priority order – hence the name – so you are more focused and on target to getting the most important tasks/activities done very single day. Some contact management system to-do lists can be customized to be more like my Prioritized Action List, which I think makes your list easier to tackle. How can you manage your time even more effectively?
Effective time management is where time blocks come to the rescue. The challenge you, as an entrepreneur, face is your inability to streamline your focus into a few high payoff tasks without getting distracted by other tasks to be completed. As a business owner, the only real challenge you have is time. Time is a factor that stands against you due to its limited availability. There are only twenty-four hours in a day (8 to 10 hours for sleep, transportation, eating, and other chores to do). Today, we are talking about Step #6 to Effective Communication that Gets Results, which is to Recognize Communication Issues that can be caused by Technology. With the advent of new technologies coming out all the time, also comes new technology-related barriers in communication. Sometimes messages can be misunderstood because of cell phone static, for example. Additionally, when communicating by phone it is common for people to use selective hearing (hearing what they want to hear), which can add to the problem. Other technology-based communication problems might result from lost phone messages or ambiguous email messages. Remember that this form of impersonal communication usually doesn’t allow for non-verbal clues, although virtual conferencing is super common, as we all know, and you can see some non-verbal cues this way which can help.. Today, we are talking about Step #4 to Effective Communication that Gets Results, which is to Learn How to Use Tone and Body Language Together. In working to improve your own communication, beware of a defensive posture or negative voice inflection. Once a person goes on the defensive, the conversation tends to spiral into oblivion. Make sure that you use a friendly and welcoming posture, with open arms and a smile. If you sense yourself taking on defensive gestures or even resorting to a defensive tone (perhaps provoked by the other person) then eliminate those telling signs. Don’t let emotion overpower good judgment. In fact, the misreading of body language and tone of voice is one of the most common problems in the breakdown of communication. Even if you are saying something agreeable, if you show physical signs to the contrary, your message and your honesty will come under suspicion. What are some of the most common barriers in effective communication? For starters, there is language, or word usage. One cannot always assume that what sounds benevolent to you would strike others the same way. People can easily misinterpret or even distort a statement’s original meaning. It is wise to avoid saying anything questionable that might confuse a listener, or inadvertently provoke a negative reaction. Sarcasm and humor can also be difficult to get across, in some cases. 7 Steps for Effective Communication that Gets Results
Communication is everything in business and in all of our relationships. So, how does one communicate even more effectively? Simply put, say what you mean, say it clearly, and say it with respect. Over the next 7 days I will share with you the 7 steps to effective communication that produces results. Let’s start with Step 1, which is that it Establishes Trust. Some people naturally distrust other people, because they do not know what the other one is thinking. Therefore, the sooner that you come out and say what you want, the sooner you can begin establishing trust. If you sense that someone is especially apprehensive, then you could go try and reassure him or her that you are not a threat. As you can guess, this doesn’t always work, so don’t waste time trying to change someone’s mind. Instead, continue being cordial and ethical and hope that your professionalism and consistency eventually wins them over – assuming you want to win them over. Principle #6 to Help You Reduce or Eliminate Distractions
Today we are talking about Principle #6 to Eliminating Distractions which is to remove computer desktop ICONS. All of those things you love doing, like playing solitaire, just remove the icon from your computer desktop. Out of sight, out of mind is typically a good policy. This goes for apps like Facebook or YouTube, for example. If these aren’t moving you and your business forward to achieving your goals, don’t get on them during primetime so you can’t get distracted and waste your valuable time. Today we are talking about Principle #5 to Eliminating Distractions which is to remove desktop clutter. You know what I’m talking about. Magazines you say you're going to read on your lunch break and the picture of your sweetheart taped right to your computer monitor; these items need to be moved out of your immediate and frequent field of vision. It's OK to have personal items near you; they just shouldn't be right in front of where you look most of the time. Only keep those items on your desk that you are currently working on. Anything else can cause a distraction and slow you down from getting your work done. Place only current files needed on your desk or desktop, while the others are filed away until you need them. Principle #4 to Help You Reduce or Eliminate Distractions
Today we are talking about Principle #4 to Eliminating Distractions which is to stop spending so much time on social media to see what other people are posting, especially if you don’t need it to do it to directly generate revenue. Just don't get on it - because once you do, you're more likely to get sucked into it. If you have to get your fix, do it at the end of the work day or a set time during the day. Set a time that you honor - say, any time after 4pm and don't get on it before then, unless you absolutely have to. I strongly recommend to most people I coach to not check email first thing in the morning because it can derail them from what they should be doing. You can choose to let people know when you will check email, so they don’t expect an immediate response, if you want to. Here’s an example of an email I received from someone: “I appreciate your email. In order to stay focused and maintain my personal effectiveness, I generally check email only once per day (Monday through Friday). If you are a client and need immediate service or attention, please call my office at (555) 778-5623. It's ideal if you have someone answer every call since real-person response is a vital part of a successful business. If this is a resource available to you, establish a schedule of when you are available to accept calls. Outside of those times, you'll need to arrange a screening process to allow only the most important calls to make their way to you. I suggest reserving at least a few hours per day when you do accept any calls. Again, scheduling phone appointments is ideal and leads to working as efficiently as possible. Business Opportunity Planner Exercise – Free Worksheet
When working with business professionals, I find that they need to have a good idea of where they are at against their goals, so they know if they are on track or off track. If they are off track, they have to figure out ways to fill the gap, so they achieve their goals. In an effort to help them stay laser focused on what they need to do to ensure they are in the highest probability position to achieve their goals – or even exceed them – I created the Business Opportunity Planner Worksheet. Everyone has a unique personality and perspective; the more that you can understand those around you – where they are coming from and how they see the world – the better you can anticipate their responses to situations and build them up positively. Proven Strategy #4 for Overcoming Difficult Issues at the Office
Today we are talking about strategy number 4 to help you overcome difficult issues, which is to Try a Positivity Sandwich. This technique has been utilized by teachers and coaches for decades; it is incredibly simple, and requires little to no practice or preparation to master. You start by identifying the issue, problem, or behavior that needs to be discussed or brought to someone’s attention. Then, you build the sandwich by determining something positive to say before the difficult thing and then something else positive to say immediately following the difficult part of the conversation. If, for example, you need to reprimand an employee for their habit of late arrival, you may choose to start the conversation by affirming how valuable they are for keeping the office running smoothly. Then you can discuss the need for them to be punctual. Afterward, you could end the conversation by thanking them for being an important member of the team. Most people are eager to please and will respond positively to this process. You are still engaging in the difficult but necessary correction, and you are doing it in a way that still calls out greatness in that person and affirms their value to your firm. While it can be tempting to sweep conflict under the rug – especially if you personally dislike conflict – it is important that as the leader of your company you set an example for those looking up to you. Proven Strategy #1 for Overcoming Difficult Issues at the Office
Today we are talking about strategy number 1 to help you overcome difficult issues, which is to Practice Patience. A good rule of thumb when faced with a difficult situation like a disgruntled employee or a grumpy client is to take a deep breath and just listen. Many times, if you can help the person you are interacting with feel heard, the situation will de-escalate on its own. We all long to be understood and valued, so when you patiently give those around you ample space to air their grievances and vent their frustrations (even if they are unfounded or if you disagree with them) you are feeding the side of them that longs to be seen and appreciated. Once they are done talking, take a brief moment to gather your own thoughts; then, calmly restate what they said to you and work with them to achieve a solution that works for everyone involved. This might seem like a bit of a no brainer, but you would be amazed at the number of people who get derailed each morning by checking Facebook, Twitter, or some other social media platform before getting started. I have had clients get so consumed with doing this non-productive behavior that they removed the app from their phone. Setting up a daily schedule can be a great way to stop procrastination before it starts. Having a plan in place will not only give you a sense of direction, but will make your day seem more achievable as well. Do the activities that bring you the best results first is usually a great way to start the day. In fact, Brian Tracy has a GREAT analogy on this subject. “Eat That Frog!” Think about this… what if the first thing that you did everyday was to eat a live frog? It sounds gross. In fact, it would probably be the worst thing that you have to do all day. But, if you ate the frog first thing in the morning, you could effectively say that the worst part of your day was behind you! The point of this analogy is that if you do the worst things first, you will find that your day will get easier and less distracting as you go. Today we are talking about Tip #4 for helping you to beat procrastination, which is to, Get Away from the Television (TV). Did you know that television (TV) is one of the biggest causes for procrastination among entrepreneurs who often work from home? Having a lot of channels and a list of favorite shows is nice, but not if it distracts you from getting everything done that you need to do! Record your favorite shows and only allow yourself to watch them AFTER you have your most critical highest payoff activities done for the day. The same can be said about YouTube videos, in today’s world. I have a client who sometimes would spend 2-3 hours in the middle of the watching entertaining YouTube videos instead of doing his high payoff work that will help him generate revenue. When he originally shared this with me, we of course came up with a strategy for him to change this behavior that would work for him. The minute you start to deviate from what you know you need to be doing is exactly when you need to take a deep breath, and just do it. Stop letting those typical excuses to stop you from getting going! Changing scenery can often change your frame of mind, and you might find that going for a walk, taking a jog, or even grabbing a cup of coffee can help you to clear your mind and get you back on track to getting things done. Say ‘NO’ to Activities that Aren’t Helping You Achieve Goals
It is okay to Say “No”, when you really want to.You don’t have to take every opportunity that comes along, especially if it doesn’t serve you in achieving your goals. What is the Cost of Your Procrastination in Your Life?
Poor follow through – consciously deciding to do something, but then not doing it for whatever reason – is a fact of life for many of us. Most people find that the gap between their intentions and their actions is too vast, and fall short of doing what is required to achieve their goals. Think about the promises you’ve made to yourself in the past. Of all the promises and commitments you have made to yourself, how many have you kept? Poor follow through is a fixture of modern life. Incredibly, most of us continue to believe that we will follow through “next time” rather than taking action to make our current goal a reality.
